Carriers log in to their own portal, see assigned trips, accept or decline, manage their vehicles and bid pricing — without you ever CC’ing them on an email thread or opening an attachment. The same portal that routes 1,200+ trips/month across our subcontract network.
Every operator we’ve ever onboarded has the same vendor workflow when they land: a spreadsheet, a shared email inbox, and about four texts per vendor per trip. You post a trip in the group chat. Someone responds. You call to confirm. You email the itinerary. They email you a signed W-9. You add their insurance expiration to a sticky note. It takes an hour per booking and nothing is logged.
When one of them cancels at 10 PM Friday for a Saturday morning airport run, you’re the one scrambling. When you grow past six vendors, the spreadsheet becomes the bottleneck. When you grow past twenty, you stop vetting new vendors because the onboarding is too painful to repeat.
The vendor portal is what replaces every piece of that workflow. Your vendors log in with their own credentials, see the trips you’ve offered them, accept or decline with one tap, upload their own insurance docs and vehicle photos, and update their own availability. You stop being a dispatcher-of-dispatchers.
Click “+ Invite a vendor” in your CRM, paste their email, choose which service areas they can bid in. We mint a magic-link token (24h expiry, single-use) and send a branded onboarding email signed by your brand — not Stretch LLC. One click lands them in the portal.
Vendor completes their profile: DOT number, insurance certificate (PDF upload), vehicle list with photos and capacity, operating hours, service radius. Everything goes into your tenant database. You get a notification when they’re complete and ready to receive trips.
When a lead matches a vendor’s service area + available vehicle, you offer the trip from inside your CRM. Vendor sees it in their portal with a 2-hour countdown. Tap accept or decline. First-vendor-to-accept wins (configurable). Everyone else gets “trip filled.”
Accepted trips show the full itinerary (pickup time, address, dropoff, pax count, special requests, your cash-in-hand pay amount, when it hits their bank). Vendor can message the dispatcher from inside the portal — no personal phone numbers exchanged.
Every accept, decline, on-time pickup, late pickup, cancellation and client rating lives in the vendor’s profile. Close-rate column on your vendor list is the single number that tells you who to send more work to.
No surprises, no “contact sales for pricing.” Everything in the stack has a price tag on the box.
Vendor portal + auto-leads dispatch rules unlock together on the Growth tier — because inviting carriers without a rule engine to route to them is just a nicer inbox. Growth includes 2,000 leads/mo, 25 vehicles, 15 users, and the full vendor onboarding + offer + accept + perf-tracking flow.
